When you actually need to merge

Merging turns several PDFs into one file. That sounds simple, but it is one of the most common real-world PDF jobs in India because so many portals accept only a single attachment. You need it when you are:

• Bundling KYC documents — Aadhaar, PAN, a photo and an address proof — into one file for a bank or broker
• Building a job application pack: resume, cover letter, mark sheets, and experience certificates
• Assembling a university admission set: application form, ID proof, category certificate and academic records
• Combining scanned pages of a single contract or agreement that were saved separately
• Joining monthly invoices or receipts into one document for filing or reimbursement

Reorder before you merge

Order matters. A KYC portal expects Aadhaar before the photo; an application panel reads your resume before your certificates. Two levels of control:

• File order — arrange the files in the merge list before combining. This sets which document comes first, second and so on.
• Page order within a file — if a single PDF has pages out of sequence (or an upside-down scan), fix it first with Page Manager to reorder, rotate or delete pages, then bring the tidied file into the merge.

Managing file size after merging

A merged PDF is roughly the sum of its parts, so combining several phone-scanned documents can easily produce a 20–40MB file. That is fine for storage but too big for most portals and email. The fix is a quick second step:

• Run the merged file through Compress PDF to fit WhatsApp (16MB), Gmail (25MB), or a government cap of 1MB.
• If it is still too large, use Split PDF to remove pages the recipient does not need.

• Wrong order. Reviewers read top to bottom. If the checklist lists ID before marksheets, arrange the files that way before you merge — do not rely on the reviewer to hunt for pages.
• Sideways scans. A photo taken in landscape merges in sideways. Rotate it in Page Manager first so every page reads upright.
• Forgetting the size cap. Merge first, then check the total against the portal limit and compress if needed — do not discover the file is 30MB only at the upload screen.
• Leaving sensitive data exposed. If the bundle contains an Aadhaar or account number and is going to a third party, mask it before sharing.
